The hirer shall be responsible for the behaviour of all occupants of the premises during the hire.

Decorations - Only decorations that can be arranged independent of the Civic Centre structure will be permitted.    The use of nails, tacks, drawing pins, staples and adhesive tapes are prohibited.    Blue Tack may be used.

Damage - The hirer shall be liable for any damage done to property fitting and fixtures during the period of hire.   Special care is required on the floors, all heavy gear and stacks of chairs are to be moved using the trolleys provided.    Damage includes the misuse of fire extinguishers.

Cleaning - The premises are to left in the same condition as at the commencement of the hire.    Cleaning should be completed within the tenure of the hire so that the venue is available for the next hirer who may be in the next hire period.  

All spills are to be mopped up and cleaning equipment such as brooms and sponge mops are available in each venue.    A vacuum cleaner for use on carpeted floors or upholstered seats is available on request.    

If the premises are left in an untidy condition the hirer will be charged for any additional cleaning.

Smoking Policy - The complex is smoke-free at all times.

Portable Equipment - No equipment is to be removed from the building unless prior arrangement has been made with the Manager.

Manager - the Manager shall have access to the complex at all times.    The hirer shall indicate any equipment or other special requirements requiring the manager's input at the time of making the booking.   You will be provided with contact details for emergencies.

Food Consumption - No eating or drinking is permitted in the main complex unless approved by the Manager, sealed water bottles excepted.

Others Property - The Feilding Civic Centre Trust is not responsible for any damage to, or loss of, any property placed in the complex by the hirer, his servants, or any person attending the function.

Key Holder Responsibilities - The key holder shall ensure the complex is securely locked, all heating and lights turned off before leaving the complex.    Keys are to be returned to the manager as soon as practicable after the event.

Concession key holders shall ensure the complex is not used without a registered booking.

Insurance - Public liability insurance is the hirer's responsibility.

Building Evacuation - Hirers will be responsible for compliance with the building evacuation procedures and the appointment and training of Building and Floor Wardens as required (wardens are required for assemblies in excess of 250 people)

Explanation of Charges:        The Feilding Civic Centre is a community asset and the preferential charges have been set for Feilding & District non-profit organisations to foster the centre's use in this manner.     To achieve this objective the Feilding Civic Centre Trust has established a three tiered charging schedule:
        1.        Professional Productions/ Business Hire.
        2.        Local Organisations non-profit, sports groups, community                         organisations etc.
        3.        Local Organisation Concession for regular users.   This status is
                at the discretion of the Feilding Civic Centre Trust.

The base rental provides the hirer with access to the venue for the period requested.    The centre has other facilities that can assist event organisers and these are available at a nominal rental designed to recover the cost of provisioning. 

The pricing schedule includes reduced rates for rehearsals and set up.    If the set up precludes the venue from being used by other customers then the rehearsal/set up rate will apply for the period the venue is out of circulation.


Rental Periods

        -        Hourly  - This discounted rate is available for all users.   Bookings are for a maximum of 2 hours
                duration and may be cancelled by either party with 8 hours notice.
        -        Half Day - 8 a.m. to Noon or 1 p.m. to 5 p.m.
        -        Day - 8 a.m. to 5 p.m.
        -        Night -  6 p.m. to Midnight
        -        Day & Night - 8 a.m. to Midnight


Venues:        The venues available for hire are:

        -        Concert Chamber
        -        Stadium
        -        Cedar Room
        -        Whole complex (all of the above)

 
Cleaning:         Restoration of the venue to the condition it was accepted in is the responsibility of the hirer.   No allowance in the charge out rates for cleaning although cleaning services can be made available by prior arrangement at a rate of $25 per hour.     Should the manager deem that additional cleaning is required commercial cleaners will be used.  Charges up to a maximum of $250 will be met by the hirer.


Power & Gas:                The Trust reserves the right to measure and recover power and gas charges from hirers who incur heavy energy usage. i.e. the high use of gas for heating in the Concert Chamber (the stadium has a coin operated system requiring $1.00 per 15 minutes) or when additional energy consuming equipment is introduced by the hirer.  In these circumstances the charging method will be negotiated prior to the commencement of the hire.


Booking Confirmation:        A non-refundable deposit of $100 is required to secure major bookings; a major booking is defined as bookings that incur more than $250 in rental charges.    All other bookings can be confirmed either when booking or with a phone call.     When your booking is confirmed you will receive a communication from the manager.   


Payment of Rental:        Major bookings should be paid in full when uplifting the key.    All other charges will be billed monthly.    Prompt payment is appreciated.    


Pencilled Bookings:        Bookings may be pencilled in at no cost.    This will give the pencilled in hirer first right of refusal on the date if it is requested by another party.


Cancellations:
        -        Bookings under $250 in value may be cancelled with three weeks notice without penalty. 
        -        Bookings cancelled within the three weeks prior to the booking will incur a charge of 25% of the value
                of the booking.          
        -        No cancellation notice will be accepted after the event.    In this circumstance full rental will be
                payable.
Feilding Information maintain the centre's diary and can advise you of venue availability and accept your booking with any additional requirments you may have.    The booking is passed on to Manager of the Feilding Civic Centre who will provide a written confirmation of the booking including costs and availability of equipment.   If you have any questions or wish to inspect the venue this can be done by contacting the Manager on (06) 323-8306 or email:
